Before receiving final load-in credentials, every approved food vendor must provide all required business, health, fire-safety, and insurance documents. Upload current documents now when available.

Food Vendor Terms

Application and menu review: All applications, menus, equipment, and concepts are reviewed. Submission and payment do not guarantee acceptance. Only approved menu items may be sold. Applicants who are not accepted receive a full refund.

Payments: Applicants may pay a 50% deposit or the full vendor fee. Payments become nonrefundable after acceptance. Remaining balances are due March 1, 2027. The vendor fee covers all three event days and does not include the separate refundable cleanup and compliance deposit.

Three-day participation: Approved vendors must load in at the assigned time, operate during all required event hours on April 16–18, 2027, and remain in place until authorized load-out. Late arrival, early departure, or a no-show may result in removal, forfeiture of fees or deposit, and loss of future eligibility.

Self-sufficient operation: Vendors must supply their own quiet generator, fuel, potable water, wastewater containment, grease and oil containment, trash receptacles, lighting, fire extinguishers, and all equipment required for safe operation. Generators must be 70 dB or lower unless a stricter limit is imposed.

Cleanup deposit: A separate $200 refundable cleanup and compliance deposit is due at check-in. It is returned only after the vendor completes the full event, follows all rules, and passes final space inspection. It may be forfeited for early departure, excessive trash, grease or property damage, improper disposal, or other violations. The vendor remains responsible for cleanup or damage costs exceeding the deposit.

Waste and safety: No wastewater, grease, oil, food residue, sauce, or other liquid may be dumped on pavement, grass, drains, or anywhere onsite. Grease mats or containment trays are required where applicable. Vendors must follow all health, sanitation, fire, propane, generator, security, venue, and event requirements.

Insurance: Vendors must maintain commercial general liability insurance with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate, including products/completed-operations coverage. The certificate must name Kings & Queens of Ink Tattoo Expo, LLC and MS Dept. of Agriculture & Commerce as additional insureds and cover event load-in through load-out.

Permits, taxes, and compliance: Vendors are responsible for all licenses, health permits, inspections, certificates, insurance, taxes, and legal requirements applicable to their operations.

Products, beverages, and alcohol: Only approved items and prices may be offered. Alcohol sales or distribution by food vendors are prohibited. Beverage sales and any crawfish or boiled-seafood items require written approval and may be limited by event, sponsor, concession, or exclusivity agreements.

Conduct and placement: Space assignments are determined by event management. Vendors may not transfer, share, sublicense, or resell space. Unsafe, unlawful, disruptive, misleading, or unprofessional conduct may result in removal without refund.

Photography, video, and media release: The applicant authorizes Southern InkFest, its approved media partners, sponsors, and representatives to photograph, record, and use the applicant’s name, brand, likeness, voice, unit, products, and participation in promotional, editorial, archival, website, social-media, broadcast, and sponsorship materials without additional compensation. This does not transfer ownership of the applicant’s original intellectual property.

Weather and event changes: The event is planned to operate rain or shine. Event management may make reasonable changes to placement, schedules, venue operations, or programming for safety or logistical reasons. Refunds are not provided for weather, low attendance, sales performance, travel problems, illness, personal availability, or other vendor circumstances after acceptance.

Responsibility: Vendors assume responsibility for their unit, equipment, staff, food, products, operations, and property. Southern InkFest and the venue are not responsible for loss, theft, or damage except where liability cannot legally be excluded.
